DocIQ: Automatically save every upload as a PDF

ApplyOnline requires document attachments in PDF format, so managing documents meant converting files before uploading. Depending on whether you uploaded them directly, allocated them from the Inbox, or a client sent them through the portal, the process could produce inconsistent results. 

What’s changed

A new Save uploaded files as PDF setting can be enabled to automatically convert documents to PDF wherever they enter DocIQ:

  • Files uploaded directly, including Word, Excel and image formats (.doc, .docx, .xls, .xlsx, .jpg, .jpeg, .png and .tiff), while retaining the original file name.
  • Word and Excel attachments allocated from the Inbox. Previously, only PDFs and image files were converted through this workflow.
  • Documents uploaded by clients through the Client Portal, which previously did not support automatic conversion.

The conversion process runs in the background and does not impact the client experience. If a file cannot be converted, it will still upload successfully and a clear notification will be displayed.

We've also resolved an issue affecting the preview and download of client-uploaded documents where file names were not displaying correctly.

Why it matters

One setting, and every document lands as a PDF, ready for ApplyOnline, however they were received. No manual converting, and no guessing which upload path keeps the format. This gives you a more consistent document workflow across DocIQ.

Where to find it

The Save uploaded files as PDF toggle is available within the Document Name Configurator:

Opportunity > Attachments > Upload

The setting is set to off by default. Set it to on.

Brokerage admins can also configure it as the default setting for their business under:

Mercury Nexus Admin > CRM Settings > DocIQ Naming

This default will apply to brokers who have not set their own preference.
